📡 Radios & Communications SOP

Radios help us stay in touch and work smoothly together during sailing events, training days, community activities, and busy periods at Plas Heli — The Welsh Sailing Academy, Event Centre and Community Enterprise.

This guide is simply here to help volunteers and Duty Managers communicate clearly. There’s nothing complicated — just a few friendly tips to make things easier.

Why We Use Radios

Radios help us:

  • stay connected around the building and external areas
  • pass on quick updates
  • ask for help when needed
  • support event organisers and visitors

You don’t need to be an expert — just do what feels comfortable.

Getting Started

If you’re given a radio, here are a few simple things that help:

  • Check it turns on.
  • Make sure the volume is at a comfortable level.
  • Hold the button for a second before speaking.
  • Speak slowly and clearly.

If anything doesn’t seem right, just let the Duty Manager know.

Friendly Radio Tips

These aren’t rules — just helpful habits:

  • Keep messages short and clear.
  • If someone is speaking, wait until they finish.
  • If you didn’t catch something, it’s fine to say “Could you repeat that?”
  • If you need help, just ask — that’s what radios are for.

Useful Phrases

These make things easier for everyone:

  • “Go ahead” – I’m listening.
  • “Stand by” – Just a moment.
  • “Received” – Got it.
  • “Repeat last” – Please say that again.

If Something Urgent Happens

If you ever need to report something important, you can say:

“Urgent message”

This simply lets others know you need to speak. The Duty Manager will take over from there. You don’t need to manage the situation — just pass the message on.

Event Days

On busy event days, radios help us keep things flowing. You might hear updates about:

  • registration
  • balcony or external areas
  • visitors needing assistance
  • changes to timings

Don’t worry — you’re never expected to make decisions. Just pass messages on or ask for help if needed.

Looking After Radios

At the end of your time on duty, it’s really helpful if you:

  • bring the radio back
  • switch it off
  • place it on charge

If you notice anything not working properly, just mention it to the Duty Manager.

Duty Manager Notes

Duty Managers look after the radios and lead communications. Volunteers simply support by:

  • passing on messages
  • letting the Duty Manager know if something needs attention
  • helping keep communication friendly and clear

There’s no pressure — just do what you can.
